ZERGAW Cloud is looking for an executive Assistant and Receptionist for the following responsibilities.  
Position 1 Administrative Assistant  

Required Skills and Qualifications 

  • Any degree
  • 0- year experience 
  • complete in MS Office( Word, Excel, PowerPoint). 
  • Excellent organizational and multitasking abilities. 
  • Strong communication and interpersonal skills. 

Knowledge of legal and nonsupervisory requirements related to shareholder communications is a plus. The executive Assistant will provide comprehensive support to the functional manager ensuring effective office operations. This  part involves a variety of  executive and pastoral tasks to grease the smooth running of the office, including shareholder management responsibilities and overseeing office utilities. 

Key Responsibilities 

  • Perform general executive tasks similar as filing, photocopying, and scanning documents. 
  • Manage and organize office records and lines. 
  • Schedule and coordinate meetings, appointments, and travel arrangements. 
  • Order and maintain office supplies inventory and oversee procurement. 
  • Handle incoming and outgoing mail 
  • Control the availability of office utilities  similar as coffee, tea, water, and other refreshments. 
  • Oversee the cleaning and maintenance of the office to ensure a tidy and professional environment. 
  • Manage the opening and closing of the office daily. 
  • Serve as a point of contact for internal and external communications. 
  • Maintain and update the shareholder registry. 
  • Prepare and distribute notices, reports, and other communications to shareholders. 
  • Coordinate and manage shareholder meetings, including scheduling, invitations, and documentation. 
  • Ensure compliance with legal and nonsupervisory requirements related to shareholder communications. 
  • Address shareholder inquiries and concerns in a timely and professional manner.  

Position 2 Receptionist  

Required Skills and Qualifications 

  • Any Diploma or equivalent. 
  • complete in MS Office( Word, Excel, Outlook). 
  • Strong organizational skills and attention to detail. 
  • Excellent verbal and spoken communication skills. 
  • Friendly and professional demeanor.  
  • The Receptionist will be the first point of contact for the office, furnishing excellent customer service to visitors and clients. This role involves managing the frontal desk, handling incoming communications, ensuring the reception area is organized and drinking, and overseeing office utilities.  
  • Key Responsibilities 
  • Greet visitors and clients warmly and direct them to the applicable person or department. 
  • Maintain a visitor log and issue visitor badges as needed. 
  • Answer, screen, and forward incoming phone calls. 
  • Take and relay messages accurately. 
  • Handle general inquiries and provide introductory information about the organization. 
  • Keep the reception area tidy and presentable with all necessary materials(e.g., pens, forms, and brochures). 
  • Manage the booking and setup of meeting rooms. 
  • Control the vacuity of office  serviceability similar as coffee, tea, water, and other refreshments. 
  • Oversee the cleaning and maintenance of the reception area and common areas. 
  • Assist in managing the opening and closing of the office daily. 
  • Assist with  executive tasks similar as data entry, form, and document preparation. 
  • Support office events and activities as needed.
