Position one: Assistance Finance & Admin

Responsibilities:

1, Invoicing and transaction recording

· Invoicing cash and credit sales by cash register or manual invoicing

· Recording and daily Sales

· receipts Reconciling daily, monthly.

· Ensure all cash and credit vouchers copy are back to the office.

· Ensure Posted Each and Every sales data are accurate in our system.

· Review all Cash and Credit Cheques or cash are accurate, and Cash deposited very next day.

· Deposit weekly cheques Collected and follow up.

· Prepare weekly and monthly sales Report and reporter to manager & salespersons.

· Report on those overdue and bounced Cheques.

· Reconcile cash or Credit sales balance with Bank deposit balance.

· Reconcile cash or Credit Cheques sales balance with Bank deposit balance.

· Ensuring that the company’s bank statements match its records sales invoice and cash deposited.

2, File documentation

· Document copies of license, tin number and information of our customers

· Document monthly cash and credit invoice issued.

· Prepare handover document of sales receipt, deposit slips and withholding tax document.

· Ensure all necessary documents are filed and signed off by authorized department.

· Manage unpaid invoice (aging invoice) of client in collaboration with Finance. and the sales team.

Requirements

Junior accountant

b. Experience

Two years of relevant experience and on cash register

· Readiness to guide, share experiences and enforce professional discipline.

Position two: Driver Mechanic & Liasing

Reporting to: Finance and Administration Officer/ Fleet Administration Officer

Place of work: Support Office

1. JOB SUMMARY

· Under immediate supervision of the Finance and Administration Officer at the Program office /Fleet Administration Officer at the Support office, the Driver Mechanic and Liaison, drives vehicles, ensures that the vehicle is in good working condition, keeps the tools safely, keeps the vehicle clean and presentable, and ensures the timely annual inspection and road-worthiness certificate acquisitions, records daily movement mileages. Assist in the collection of Performa invoices on an approved purchase requisition as required and handle liaising works with Government Offices and other organizations as he/she assigned. He/She observe prescribed work, safety rules and respond to service calls. Perform minor mechanical repairs/service.

2. DUTIES/TASKS

Driving and Vehicle Management

· Drives the vehicle assigned to him/her safely, with strict observance of traffic rules and regulations and the organization’s internal policy.

· Use or utilize the vehicle for the sole purpose of the organization’s work.

· Checks and ensures the timely filling and rational use of fuel and oil supplies to the organization’s vehicles.

· Fill in fuel and oil consumed and kilometer readings before and after any travel on the appropriate log sheet and submit same to his/her immediate supervisor.

· Fills up the vehicle logbook accurately and submits it on a regular basis to the Finance and Administration Officer at the Program office /Fleet Administration Officer at the Support office.

· Informs his/her supervisor of any accident, incidents, or safety problems faced on travel immediately.

· Conducts standard checks of the vehicle every day before operating and ensures that regular maintenance work is carried out at the recommended Km reading.

· Ascertains that the necessary appliances (spare tyre, fire extinguisher, tools, etc.) are readily available in the vehicle.

· Ensures proper cleanliness, maintenance, repair, and safekeeping of the vehicle before and after operation.

· Ensures the annual inspection, and 3rd party insurance of the vehicle before the set deadline.

· Ensure that the vehicle is equipped with the necessary safety and short-term maintenance equipment.

· Ensures that the necessary appliances, Fire extinguisher, and First Aid kit are readily available in the vehicle in good condition and report any gaps identified for immediate stocking.

· Perform day-to-day maintenance and checkup of the car, perform minor repair & and always ensure the safety of the vehicle.

· Follow up and ensure the vehicle’s regular maintenance/repair that is carried out by the contracted garage and update the immediate supervisor for any administration action.

Liaising and Assisting

· Distribute/collect letters, packages, messages, medical and nonmedical items, and project/office documents on behalf of the MSIE. Check mail in the post office regularly and perform related liaison works.

· Assist in the settlement of monthly utility bills (water, electricity, telephone, internet, etc.) or any associated payments as required.

· Distribute donated medical supplies and equipment to the concerned offices, and sites and submit delivery documents to Store/Finance and Admin officer.

· Assists with imported goods in the collection of documents from the Transit and customs agent office and submit them to the concerned division.

· Assist in handling and managing MSIE guests and visitors in line with training, meetings, workshops, field visits, and program reviews.

· Assist in receiving approved purchase requisition and collect proforma invoice and submit to Procurement team as required. And collect purchased items from vendors and deliver them to respective divisions.

· Handle liaising works with Government Offices and other organizations as he/she is assigned.

· Collects, transports, and delivers pharmaceutical goods from the store by vehicle or through an Express mailing company.

· Assist the Fleet Division in reviewing, arranging, and recording vehicle fleet documents as required.

· Performs other related tasks as required.

3. PERSON SPECIFICATION

A. Qualification Requirements

Diploma in Auto mechanics or 12th /10th complete certificate with 3rd Grade or Public I, Driving License

Two years of experience for Diploma and Five years for 12th /10th complete certificate . Liaising experience would be a plus.

B. Skills, Attitudes, Abilities, and attributes

· Good sense of cleanliness.

· Knowledge about vehicle operations.

· Good knowledge of the main roads and side roads around the work areas.

· Good verbal and written communication skills in English.

· Excellent in time management/meeting deadlines.

· Ability to work under minimum supervision.

· Ability to effectively work in a team.

· Ability to work with computer applications.

· Willingness to travel to Program offices.

· Willingness to work under pressure.
